Venue Approval for Coffee Carts: Questions Before You Book

Resolve outside-catering approval, loading access and equipment requirements before committing to event coffee service.

Start with the venue’s current instructions

Ask your venue contact whether an outside coffee vendor is allowed and which documents or approvals are needed. Hotels, convention centers, offices and private venues can have different arrangements. Request the current event-specific instructions in writing. Do not rely on a vendor having worked at the venue previously; another room, organizer or contract may have different conditions.

Connect the right people

Introduce the coffee operator to the venue representative responsible for catering or event operations. Share the room and service schedule. Establish who submits documents, arranges equipment services and receives approval. The event planner should retain the final confirmation so the operator is not asked to resolve an avoidable access issue at load-in.

Check the entire route

Measure or confirm loading access, doors, elevators and the service footprint. Ask about loading appointments, parking, badges and restricted times. Have the operator supply equipment-specific power and water requirements for venue review. Confirm waste arrangements and whether any venue-provided services add charges to your event account.

Document the decision before paying for extras

Confirm the approved placement, operating hours, documents, charges and responsible contacts. If the venue refuses outside catering, discuss permitted alternatives before ordering branding or paying for nonrefundable production. Keep the final instructions with the vendor’s proposal and send updates to everyone affected by a room or schedule change.

Common questions

Are venue requirements the same everywhere?

No. Obtain current instructions from the actual venue and organizer for your event.

Should I book before approval?

Discuss availability while approvals are pending, but understand the vendor’s payment and cancellation terms before committing.

Find the right operator for your event

Start with your venue's city. Share your date, guest count, menu preferences and service window with operators who may be a fit.
