Ask for requirements for the actual cart being booked
A photograph of a compact counter does not show the storage, equipment, or working space behind it. Ask which cart and equipment package your booking includes, then request its requirements. If the operator changes the equipment or adds a station, reconfirm the plan. A setup suitable for a casual gathering may differ from the same company's conference configuration.
Published operator FAQs illustrate why a universal checklist cannot supply one universal measurement. Water Lily Coffee and Astro Coffee describe different outlet arrangements for their carts, while Astro also lists mobile units with onboard power. Use the categories below to organize the conversation, and let the selected operator and venue confirm the technical details.
Confirm power with the venue's facilities contact
Ask the cart for the required voltage, circuit capacity, number of circuits, connector type, and permitted distance to the supply. Send that information to the venue. Two nearby sockets do not establish that there are two separate circuits, and an outlet being visible does not show what else shares it. Have the venue identify and approve the supply rather than guessing from a room photo.
Agree on who provides any suitable cables, cable protection, or temporary power arrangement. If the cart proposes batteries or a generator, confirm the operating duration and whether that arrangement is acceptable at the venue. Keep technical decisions with the operator and qualified venue staff; the host's job is to connect them before event day.
Separate fresh water, handwashing, and wastewater questions
Some mobile operators bring their own water, but that does not answer every setup question. Ask whether the selected configuration needs a water connection, a refill location, or any access for cleaning. Confirm the operator's plan for handwashing and wastewater, and have the venue approve any facilities the service will use.
Also agree on who supplies ice, where additional milk and other ingredients will be stored, and who removes cups and rubbish from the guest area. Do not assume that a vendor's breakdown service includes clearing the entire reception room. Put responsibilities into the event brief so the planner and venue team can allocate the remaining tasks.
Measure the route as well as the serving area
Share the full route from the unloading point to the service position. Note door openings, tight turns, thresholds, stairs, lifts, slopes, and the surface underfoot. Ask the operator for the equipment's transport dimensions and any limits on how it can be moved. A cart fitting into the final room does not establish that it can reach the room.
Reserve room for the barista to work, supplies to remain organized, and guests to order and collect drinks. Place the queue separately from doorways and main circulation routes. Have the venue review the layout for accessible guest movement and any venue-specific clearance requirements. If the cart serves through a vehicle window, include the guest approach and collection area in that review.
| Send to the operator | Ask the operator to return |
|---|---|
| Venue address and photos of the proposed route | Transport dimensions and access concerns |
| Floor plan and proposed cart position | Full working footprint and guest-flow recommendation |
| Facilities contact and available utility information | Equipment-specific electrical and water requirements |
| Event schedule and room-access hours | Arrival, ready-to-serve, and departure times |
Agree on a weather plan and a realistic arrival window
For outdoor service, ask the operator which surface, shelter, and conditions their equipment can support. Choose a backup location with usable access and utilities, not simply an empty indoor corner. Agree who makes the relocation decision and when it must happen. A tent or canopy should only be part of the plan if the vendor and venue approve its suitability.
Build the schedule backward from the time guests should receive drinks. Allow the operator's requested time for unloading, setup, equipment preparation, and checks, plus the venue's access process. Confirm when breakdown can start and when the space must be clear. Circulate the final details to the planner, venue, and vendor, then update all three if the location or timeline changes.
Common questions
Does every coffee cart need a power outlet?
No. Some use venue power and others have onboard systems. Request the requirements for the exact cart and service duration, then confirm the arrangement with the venue.
Does a coffee cart need a water hookup?
Some operators bring water tanks, while other setups need venue facilities. Ask about fresh water, refills, cleaning, and wastewater separately.
How much space should we reserve for a coffee cart?
Use the operator's full working footprint, then allow a suitable guest approach and queue. Also check the access route; the visible counter dimensions alone are not enough.
Can a coffee cart serve outside?
Many operators offer outdoor service, subject to their equipment, surface, shelter, weather, and utility requirements. Confirm those conditions and a workable backup location before booking.
