Hiring a coffee cart: what to know

What does coffee cart catering cost?

Across the US, the typical 2-hour coffee cart booking runs about $1,000, with most events landing between $765 and $1,700. Pricing varies meaningfully by region — labor, travel, and demand differ from market to market. Typical ranges for a 2-hour event of around 50 guests:

Typical coffee cart pricing by US region
RegionTypical 2-hr event (~50 guests)
Midwest$550–$950
Southeast$700–$1,200
South / Texas$700–$1,300
Mountain West$700–$1,300
Northeast$850–$1,500
West Coast & major metros$900–$1,800+

The two biggest price drivers are guest count and service hours. Weddings usually cost more than corporate events of the same size because of venue coordination and customization. Travel beyond a provider's base radius, specialty menus, and branded cups add to the total. Read the full coffee cart cost guide →

How far ahead should you book?

For corporate events, 2–4 weeks is usually enough. For weddings and peak season (May–October), book 2–6 months out — the best operators in each city fill weekend dates early. Most providers require a deposit to hold the date, commonly 25–50%.

What to ask before you hire

A professional operator should have ready answers to all of these: Are you insured (general liability), and can you provide a certificate to my venue? What are your power and water requirements, and what happens if the venue can't provide them? How much space does your cart need? How many drinks per hour can you serve, and how many baristas are included? What's included in the quote — drinks, dairy alternatives, cups, setup and breakdown time? Coffee cart or coffee catering?

A coffee cart is a single rolling setup with one or two baristas, ideal for smaller gatherings. A coffee caterer has a larger barista team and multiple stations to handle bigger crowds. As a rule of thumb, for events over about 50 to 100 guests you want a coffee caterer. Coffee cart vs. coffee catering →

What does a coffee cart serve?

A staffed espresso cart typically serves lattes, cappuccinos, americanos, mochas, hot chocolate, and tea, with iced versions in warm months. Most operators carry oat and almond milk as standard. Cold brew bars, matcha, and signature drink menus (popular at weddings) are common upgrades. How to tell if a vendor has good coffee →
