Choose the backup before the forecast changes
Ask the operator and venue which conditions would make service impractical or unsafe for their equipment and staff. Agree on a covered or indoor alternative where available. Specify who makes the decision, when it must be made and how guests and vendors will be notified. A forecast alone does not define the vendor’s operating limits.
Check the ground and arrival route
Describe the surface from unloading to the final service point, including steps, slopes, gravel and soft ground. Ask whether the actual cart can use that route. Confirm delivery access and parking so supplies do not have to cross an active event. If equipment protection or shelter is proposed, have the operator and venue agree on suitability and responsibility.
Confirm utilities and consumables
Have the operator specify equipment requirements and ask the venue how those needs will be met at the exact location. Do not assume an outdoor outlet supports the planned setup. Discuss water, ice, supplies and waste handling for the service window. Hot and iced menus may have different preparation and replenishment needs; confirm what is workable.
Write down changes and cancellation terms
Keep the original and backup layouts with the quote. Confirm charges for moving equipment, changing service hours or postponing. Read the actual contract rather than assuming poor weather produces a refund. Give one on-site contact authority to communicate approved changes and keep the operator informed as access or weather conditions change.
