Separate attendance from drink demand
Start with expected attendance, then estimate the share likely to order and the average drinks per participating guest. Use the formula attendees × participation × drinks per participant. These are planning assumptions, not industry averages. Your vendor should help adjust them for the time of day, other refreshments, weather and menu.
Work through a transparent example
For 100 attendees, an assumed 70% participation and 1.5 drinks per participant produces 105 drinks. If you instead assume 90% participation and two drinks, the result is 180. Neither scenario predicts your event. Share both with the vendor to compare package limits and ask how additional drinks are charged or approved.
Check the busiest service window
A two-hour event does not give the operator two hours to serve every guest if everyone arrives during the first break. If your planning scenario puts 60 drinks into a 20-minute window, that requires an average three drinks per minute across all stations. This arithmetic is a demand requirement, not a claim about what one barista can produce. Ask the operator for a realistic plan.
Translate the plan into a written quote
Record total expected drinks, peak-window demand, included menu, number of staff, service duration and overage terms. Ask how the operator counts servings, whether non-coffee drinks use the same allowance, and whether guests can reorder. Confirm how unused allowance and unexpected attendance are handled. Keep the forecast available to whoever can authorize changes on site.
Common questions
Is one cup per person enough?
It may be too little or too much. Consider participation, repeat orders and competing refreshments, then discuss scenarios with the vendor.
Can I convert this directly into gallons?
Only for drinks with a defined serving size and recipe. Ask the operator to calculate ingredients for espresso drinks, brewed coffee and other menu items separately.
