Draw the guest journey
Mark where guests first see the menu, join the line, order, wait and collect drinks. Then mark where they go next. Keep the queue away from entrances, emergency routes, registration desks and other vendors. Ask the venue to approve the layout and keep required accessible routes clear. The operator needs working space behind and beside the cart as well as guest space in front.
Separate decisions from preparation
Make the menu visible before guests reach the barista. Use clear drink names and explain which items are hosted. If the menu includes optional customizations, discuss how orders will be communicated and identified. A separate pickup point can help when the cart and venue support it, but confirm the workflow with the actual crew before designing signage.
Match the menu to the peak
Ask the operator which drinks fit a short break and which require more preparation. Consider whether a smaller menu during the busiest window would help. If you add a separate refreshments station, define its purpose and staffing rather than assuming it reduces demand. Test your busiest service scenario with the operator using estimated orders and available minutes.
Manage the queue on the day
Assign a host to answer event questions and direct guests if crowding develops. Agree who can change the line layout or service window. Keep waste bins and nearby seating from obstructing pickup. Afterward, record where guests hesitated or crossed paths and use those observations to improve the next setup.
Common questions
Does a long queue mean I need another cart?
Possibly, but unclear menus, pickup confusion or a short arrival rush can also cause delays. Ask the operator to assess the whole service plan.
Can the cart sit anywhere it fits?
No. Confirm the working footprint, utilities, guest routes and venue approval, not just the cart dimensions.
